JOB SUMMARY
- Responsible for providing Flight Ops Support to all New Hire Pilots, Pilot Onboarding program facilitators, designated Pilot groups and Leaders. This role specializes in the onboarding, engagement and processing of all new pilots and supports the Flight Operations Pilot Onboarding program. Gathers feedback to utilize in creating processes/best practices to increase engagement and instill culture among Pilots. Oversees the First officer Mentorship program.
RESPONSIBILITIES
- Foster a friendly, professional atmosphere to help forge a cohesive Department in support of Company objectives
- Focus on onboarding and engagement of new hire Pilots during their probationary period. Gather feedback to utilize in creating processes/best practices to increase engagement and instill culture among Pilots
- Focus on timely communication to Probationary Pilots as well as any other pilots engaged in Pilot Onboarding Programs
- Develop communication materials to promote awareness of Company policies and initiatives as well as Department-related issues and activities
- Handle project work related to onboarding and engagement
- Plan, organize, execute and participate in the New Hire Pilot Welcome dinners
- Coordinate and organize the First Officer Leadership class event locations, catering and other logistics
- Support the Manager Pilot Onboarding in developing and executing new Pilot Onboarding Programs
- Assist in development of a comprehensive plan to seek and retain professional Pilots
- Develop a comprehensive plan to monitor professional Pilot development and Leadership by collecting feedback
- Develop a comprehensive plan to monitor and track pilots and leadership interaction in all Domiciles
- Monitor and track pilot vacancy movements to ensure continual leadership contact is kept with new hire Pilots
- Develop a plan to help new hire pilots understand how to utilize the Manager Pilot Onboarding as a resource
- Manage all feedback collected through Pilot Onboarding programs
- Sort survey data and coordinate with other support staff to make sure all survey data is available in a presentable form for Leadership upon request
- Work with other departments and Pilot Bases to resolve a wide variety of issues impacting New Hire Pilots
- Partner with Admin Coordinators and Crew Base Coordinators for administrative-related issues
- Maintain distribution lists, Employee information, updates for the Flight Ops tab on SWALife.com by writing, editing, and selecting content while ensuring information is accurate, relevant, and current
- Work with a wide variety of outside vendors in a cooperative spirit to ensure the success of our Company
- Create and maintain QuickBase application as required
- Plan, organize, execute and participate in Department functions, special activities and Culture events pertaining to Pilot Onboarding
- Collaborate with the People Department Benefits Team to support new hire pilots
- Assist Leaders with special projects and presentations. Develop methods to streamline procedures
- Reconcile Petty Cash, P-card, and expense reports and file reimbursement requests through SAP if needed
- Act as a liaison with other Departments and Administrators to nurture positive inter-Department relationships, share resources, and improve communication to help ensure the success of our Company
- Compile orders for office supplies and other items using the purchasing application
- Process travel arrangements for Pilots, their guests, Leaders and Company business as needed
- Handles business process documentation, such as required forms, policies, and procedures
- All other variety of special projects and duties as assigned by designated Leader
- Oversees the First Officer Mentorship program:
- Assigns New Hire Pilots a Mentor
- Tracks Mentor contacts and touchpoints for every New Hire and follows-up when necessary
- Responsible for all communication, monitoring, updates, and applications needed to run the program
- Enhances and improves procedures
- Oversees Lead Mentors (Line Pilots) within the guidelines of the Mentorship Program
- Must be able to meet any physical ability requirements listed on this description

KNOWLEDGE, SKILLS AND ABILITIES
- Must be able to master several PC software packages including Word, Excel, PowerPoint, and Outlook
- Must be a motivated self-starter able to prioritize and organize multiple projects within time constraints with frequent interruptions
- Must have the ability to complete projects/tasks in a timely manner, as well as work with minimal supervision and rely on experience and judgment to plan and accomplish goals
- Must possess excellent organizational and coordination skills and must be proficient at time and task management

EDUCATION
- Required: High School Diploma or GED
- Required: Bachelor's Degree or equivalent work experience
EXPERIENCE
- Required: 2 years of administration experience
- Required: 1 year of Database experience; QuickBase preferred
- Required: 2 years of experience in coordinating and executing large events
- Preferred: 1 year of previous experience working with onboarding new hire Pilots

OTHER QUALIFICATIONS
- Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines
- Must be a U.S. citizen or have authorization to work in the United States as defined by the Immigration Reform Act of 1986
- Must be at least 18 years of age
- Must be able to comply with Company attendance standards as described in established guidelines
