Eaton Research Labs (ERL) is currently seeking an Executive administrative Assistant to join our Syracuse, NY team.
Position Overview:

The Executive Administrative Assistant provides administrative and secretarial assistance to the VP of Global Marketing and VP of Global Operations within the Crouse Hinds, B-Line and Oil & Gas business. This position supports administrative tasks, analysis of data, and business coordination activities. An effective candidate will be highly analytical, self-driven and detailed oriented. Work independently and acts on routine matters in the absence of the supervisor. Handle confidential information. Communicate and collaborate extensively across Eaton’s Divisional organizations as well as work on business-related projects as assigned.

In this role you will:
- Responsible for all administrative support duties pertaining to the office of the VPs, including meeting arrangement, coordination, and follow-through; travel arrangements; correspondence, filing, phone messaging, expense reporting, coordinating global meeting calendar for leadership team, etc.
- Prepare and maintain confidential organizational reports and records, with follow-up on pending matters as appropriate. Handle confidential material and information with necessary discretion.
- Serve as liaison between the Vice Presidents, Region, and Division leaders, team members and staff, Eaton corporate personnel, committees, etc., as well as with external customers and industry contacts and community leaders.
- Responsible for planning meetings (in person and teleconference) and conferences. Prepares and distributes agendas, manages meeting logistics, provides resources, attends meetings and takes/distributes meeting minutes.
- Coordinate, consolidate and synthesize first edit and distribution of monthly reports across the functional team, as well as informal communications across the business. Compile, validate and publish monthly metrics.
- Coordinate and creates routine and ad hoc reports, presentations, and correspondence cooperating with all levels of the organization and managing various sources of electronic information.
- Assist with the preparation and distribution of leadership communications via email and Yammer posts.
- Set the calendar for recurring reports and activities, delegates tasks on behalf of Vice Presidents and holds the team accountable assuring excellent quality of data and meeting assigned deadlines.
- Provide high level support in gathering, analyzing, and compiling data in charts and presentations (e.g., Monthly Business Report, etc.).
- Coordinate / support other business-related projects as assigned. Examples include working with counterparts in other Divisions/Regions on projects/meetings and composing graphic or chart presentations.
- Provides general office management responsibilities for the teams including maintenance of calendars/appointments, maintaining office supplies, managing correspondence, letters, shipment of product samples, and coordinating interviews (including travel).
- Manage expense reports and coordinate domestic & international travel for the leadership team (including Passports, Visa’s, etc.).
- Assist with site community events committee.
- Answer phone calls for the leadership team, greeting & screening calls, or visitors.

Qualifications
Required (Basic) Qualifications:
- Associates Degree from an accredited institution or minimum of 3 years office experience supporting executive level staff members
- Must be legally authorized to work in the United States without company sponsorship
- No relocation is offered for this position. Only candidates located within 50 miles of Syracuse, NY will be considered for the position.
Preferred Qualifications
- Bachelor’s Degree from an accredited institution preferred.
Position Criteria
- Must be proficient in Microsoft Suite software to include PowerPoint, Excel, Word and Outlook
- Candidate must have ability to join early morning meetings, evening meetings and night meetings as required.
- Ability to compile and analyze data to determine trends and possible actions.
- Ability to multi-task, prioritize and complete requests and assignments in a timely manner.
- Ability to handle change in a fast-paced environment. Flexibility to deal with interruptions, changing priorities, and deadlines.
- Well-developed skills in effectively and comfortably interacting with all levels of management, employees, internal and external customers, and outside contacts.
- Strong independent decision-making, problem-solving and collaborative skills.
- Detail oriented, well organized, and must work well in both a team and individual environment.
- Strong organizational and communication skills (written and verbal).
- Strong computer skills to quickly learn and utilize other computer software programs.
