Role Introduction
To actively support the cabin crew employees the base operational functions including pre-flight planning and administration of Safety & Emergency matters in addition to ensuring payroll and benefit administration records are accurate and updated.
Key Responsibilities
Administration
- To assist the Base Manager and Base Executive to ensure the smooth running of the office and operations
- To handle cabin crew enquiries on various work related matters
- To provide administrative support in an accurate and timely manner to ensure that all recruitment processes and systems are seamless
- To be responsible for maintaining all staff personnel and travel files securely and in good order
- To verify petty cash claims for cabin crew and process all bills/invoices for base office through SAP
- To maintain and accurately update all Base Crew information in People Hub ensuring other relevant departments are also notified, i.e. change of bank account or address for payroll purposes
Daily Operations
- To manage the day to day operation including liaising with Crew Operations/FOP in Hong Kong on sick leave replacement, roster changes, flight disruptions and provide information and clear communication to cabin crew and other departments when required
- To prepare all preflight materials for operational cabin crew and assist with administration of the computerized Pre-flight Safety and Emergency Questions: One safety and emergency question is to be answered correctly. Cabin crew will be given sixty (60) seconds and three (3) chances to answer a safety question. Cabin crew who fail to answer the safety questions will be offloaded. Base Administrator to refer crew to Base Executive for further evaluation
- To complete all paperwork related to Hong Kong visa issuance in respect of training and operational duties
- To be familiar with and able to assist crew with all queries related to rostering and operational needs in addition to maintaining up to date regulatory information for crew to access
- To ensure all cabin crew travel documents including passports are valid and correctly input into People Hub to avoid operational disruptions
Payroll
- To create an accurate monthly payroll spreadsheet report for Singapore base crew
- To provide Finance Manager with all information required to produce an accurate monthly payroll for the Singapore base crew; including allowances, benefits, maternity leave and other payments etc.
- To create and update the year end discretionary spreadsheet, profit sharing spreadsheet and Hong Kong IRD tax filing spreadsheets
- To complete and keep a file of all Hong Kong IRD and Singapore IRS taxation documents and requests by the appropriate authority
Staff Travel
- To monitor, follow up and update crew travel documents
- To manage the administration of the Base Crew travel concessions which includes sending reminders of nominee travel concessions and authorization of travel concession nomination
- To monitor, follow up and update crew travel documents
Other Responsibilities
- To arrange and update medical information including new enrolment and changes of status of Singapore base crew
- To ensure health care claim applications (AIA & GHS) are correctly filled in by crew and forwarded to appropriate agency
- To arrange uniform replacement when necessary and handles Company issued items/uniform returns for resignations
Requirements
Skills
- Computer literacy e.g. Excel, PowerPoint, MS Word.
- Good communication and interpersonal skills with excellent command of written and spoken English
- Good command of both written and spoken English
- Possess good communication & interpersonal skills
- Possess good planning and organizing skills. Ability to multi-task and work independently.
- Proficient with Microsoft Office Skills. Experience of creating and maintaining Excel Spreadsheets and databases
- Assist with digitalisation initiatives
- Customer service oriented with good interpersonal skills
- Flexible approach to work and willing to work shift duties
- PC literate
- Airline experience will be an added advantage
Knowledge
- Post-Secondary school education in Office and/or Personnel and Payroll
- Cabin Crew operational environment and standards (safety, service, etc.)
Experience
- At least 3 years relevant work experience in airline industry.
