Northrop Grumman is seeking an Administrative Assistant to join the Airborne Multifunction Sensors (AMS) Engineering and Sciences (E&S) organization, reporting to the director of Engineering Synergy. The position is located in Baltimore, MD. In this role, you will be an integral part of our engineering organization and will be vital to the continued successful execution of our charter to provide the technical skills, technologies, and processes for internal and external partnerships to affordably develop, design, produce and sustain optimized product lines across the sector while providing a decisive advantage to the warfighter. In this highly collaborative position, you will be working jointly with senior leadership of the organization while also interacting with the engineering population of ~400. You will have a vital role in organization-wide initiatives to provide new hires an engaging onboarding experience, take our performance to the next level, improve employee engagement, and further innovation efforts.

Responsibilities

To succeed in this role, you need to be technically-savvy, self-prioritizing, and innovative. A can-do, collaborative attitude is a must. You will need to enjoy working in a collaborative environment, adapt quickly to new assignments, be an independent thinker, possess both a leader and customer service mindset, and have a track record of working in a fast-paced, multi-faceted environment with a high daily workload. Specific responsibilities include:

  • Interact daily with organization leadership team to plan, schedule, and coordinate meetings and activities in alignment with objectives.
  • Order PCs for incoming employees and facilitate effective use of office space.
  • Use automated systems to track office seating.
  • Maintain organization-wide email distribution lists and send organization-wide emails from the Director.
  • Administer and track training (LX role tracking and role certification).
  • Coordinate travel arrangements and process travel reimbursements.
  • Maintain assigned Organizational Charts
  • Maintain office supply stock to support assigned rooms.
  • Support maintenance requests for assigned office locations.
  • Manage and administer SharePoint file repositories.
  • Manage mail distribution within assigned mailstops.
  • Oversee conference room administration, including equipment functionality.
  • Support functional partners on special assignments.
  • Guide employees in Company policies and procedures.

Basic Qualifications:

To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below:

  • High School diploma and a minimum of four (4) years of experience in an administrative support position, or equivalent combination of education and experience.
  • High-level of proficiency with Microsoft Office Applications (Outlook, Word, PowerPoint, Excel, Explorer) and willingness to self-learn other software packages as job duties require.
  • Excellent verbal and written communication skills including informal communications.
  • Exemplary interpersonal skills and consummate professionalism.
  • Propensity to proactively manage and prioritize multiple activities, and ability to work independently with minimal supervision.
  • Dependability, accuracy, efficiency, punctuality, and the exercise of good judgment at all times.
  • Enjoys working with people; thrives in a dynamic, fast-paced environment; maintains a positive, professional demeanor.
  • Self-starter, capable of working for extended periods alone or with little direction.
  • Detail-oriented, highly organized, collaboration focused, and quality attentive.

Preferred Qualifications:

Candidates with these desired skills will be given preferential consideration:

  • Experience working with employees at remote sites.
  • Advanced Microsoft Excel knowledge and experience.
  • Experience with Confluence, Teams, and Jira.
  • Knowledge and practical experience with learning management system (prefer LX), travel system (prefer Concur) and SharePoint.
  • Creativity and ability to develop content-rich documents and presentations.

Salary Range: $50,600 - $84,300

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
