Position Overview:

Boeing Global Enterprises Services ( BGES) team is currently looking for an Associate Administrative Assistant to join their team in Bangalore, India.

The position will report to the Business Support Manager (BSM) and will receive day-to-day direction from this manager. The candidate will work closely with local agencies and vendors to pro-actively support the business needs related to Boeing as a result of ever changing business landscape. This includes, but is not limited to Boeing infrastructure (office facilities), employee services, safety and security (disaster planning and business continuity) within the assigned location, and payment process for vendors. The candidate should have a good command of the English language. Previous work experience with multinationals in similar environments is preferable.

Position Responsibilities:

The responsibilities for this position include, but are not limited to, the following:


  • Responsible for supporting management of Services through 3rd party service providers internal Boeing standard operating procedures.
  • Maintaining relationships with various Business stakeholders and Service Providers.
  • Provides general administrative support to all employees and visitors
  • Supports the BGES team during any event as & when directed
  • Supports HR organization during mass recruitment drive and Distribution of Boeing merchandise
  • MIS – Daily, Weekly & Monthly e.g. Office Safety / Emergency Response Calling Systems (dialogic/call tree etc.) or as needed
  • Participates and leads facility gemba to identify opportunities of improvement and coordinates corrective actions as required
  • Management of outsourced facility services under guidance of BGES responsible SME
  • Inspects & updates the Food Services Management sheet daily including weekly menu display at LED & coordinating with supplier as needed.
  • Able to measure the vendor performance through score card and process audits.
  • Ability to analyze the data and make the decision based on the data (Data-driven approach).
  • Ability to collaborate with other functions like Procurement/Finance/HR/Security etc. as & when required to deliver the assigned scope of work.
  • Responsible for adhering safety & security at the workplace and implementing EHS policies.
  • Monitor emergency response procedures such as dialogic/call tree/ERT members.
  • Should be familiar with the compliance requirements for building/facility operations
  • Sharing inputs on annual budgeting
  • Maintains the operation-related records and documents including (not limited to) Building compliance , labour compliance etc
  • Coordinates with BGES team members to accomplish specials tasks assigned from time to time
  • Responsible for complete Procure to Pay cycle (P2P) & coordinating with relevant business partners(s)
  • Support coordination and execution of events as required by business from time to time


Basic Qualifications (Required Skills/Experience):


  • A Bachelor’s degree / Diploma or higher is required as a BASIC QUALIFICATION in hospitality/administration
  • At least 6+ Years of relevant work experience .
  • Able to collaborate with internal team members as well as external stakeholders
  • Experience in Facilities Management / Workplace services is preferred
  • Effective Communicator with good verbal and written communication skills
  • Knowledge of advanced Microsoft office tools (Word, Excel, PowerPoint, etc)


Preferred Qualifications (Desired Skills/Experience):


  • A postgraduate qualification will be an added advantage.
  • Manages and supports the integration of activities like facilities occupation including facilities planning, analysis, project administration, and property administration, as required from time to time.
  • Strong knowledge on Facilities Operation, Space Planning and Data analysis.
  • Responsible for facility takeover from the Project team which includes snagging / de-snagging / track and maintaining all facility-related documentation etc.
  • Orienting the new joiners with Boeing India and BIES function.
  • Implement innovative principles of Space planning in tune with the Business requirement.
  • Able to define the Process Flow for various processes and able to optimize to reduce the manual efforts.
  • Handled multiple sustainability projects and various energy saving/cost saving projects.
  • Should have managed small and large projects. Ability to lead and manage small minor project works on-site.
  • Responsible for complete Procure to Pay cycle (P2P) & coordinating with relevant business partners(s).


Typical Education & Experience:

Education/experience typically acquired through advanced education (e.g. Bachelor) and typically 6 or more years' related work experience or an equivalent combination of education and experience (e.g. Master+ 5 years' related work experience.

Relocation:

This position does offers relocation based on candidate eligibility within India.
