We are looking for a Programme Administrator for our Mercury Business Transformation Programme who will also act as Personal Assistant to the Global Business Services Director who acts as the Mercury Business Programme Director and provide administrative support to their direct reports.



What you'll be Doing:

  • Provide administrative support to the Global Business Services Director, including:
  • Arrange meetings and appointments via the calendar system with both external and internal contacts.
  • Manage business expenses (preparing claims for the Director and checking claims from direct reports)
  • Provide administrative support to the Mercury Business Programme Team, including:
  • taking minutes or notes of key meetings and following up actions from previous meetings where applicable.
  • Collecting and collating data and project information relating to Project Mercury and other projects.
  • Book travel, venues, catering and equipment for events, setting up rooms as necessary.
  • Assist in the monitoring of the delivery of work streams against plans, chasing progress as appropriate.
  • Preparation of general presentation materials as appropriate.
  • Ensure effective communication is maintained across the project team and end users whilst acting as the first point of contact for enquiries, including sending out a weekly newsletter to all Programme members.
  • Support the Global Business Services Director and 8 direct reports.
  • Interact with colleagues working on the Mercury Programme and local business units, and with external Lenders and suppliers.



To be successful in this role you will need:

Essential:

  • Excellent organisational and time management skills
  • Good written and spoken communication skills
  • Accuracy and attention to detail
  • Excellent computer and administration skills
  • Proficient in all Microsoft Windows applications including Word, Excel, PowerPoint and Outlook
  • Experience in electronic diary management
  • Recent experience in an EA/PA role or Project Administration



Desirable:

  • Experience of working internationally, or for international organisations with different languages and cultures.
