We have an exciting opportunity for a Project Administrative Assistant to join our team with JETS II Teammate Company, GeoControl Systems, Inc.

The Project Administrative Assistant will

  • Start telecon/WebEx, and open products from Weekly SharePoint page for meeting discussion
  • Tracking document reviews and coordinating reviewers for teams
  • Provide general administrative support, including scheduling meetings and reviews
  • Setting up and managing a “home page" on SharePoint which will display detailed information about the project progress
  • Administer Project SharePoint site, which means 1) respond to requests for additional subsites, modify sites, manage permissions, set up new lists/libraries, etc., to support growing project needs, 2) reorganize the site, and 3) maintain telecon/WebEx content for Project using SharePoint calendar
  • Track general project actions and sending out reminders
  • Collect agenda topics for upcoming meetings using the weekly SharePoint page
  • Collect actions and follow up with actionees to get the actions completed and statuses updated ahead of the meetings
  • Publish minutes from the meetings that include decisions made and actions taken
  • Compile and distribute weekly email on meetings relevant to the team with agendas
  • Perform other duties as required


Requisition Qualifications

  • Requires a HS diploma or its equivalent.
  • Experience with SharePoint administration either v2016 or O365 Teams and with Microsoft Office
  • Excellent oral and written communication skills
  • Experience in working with engineers in a collaborative environment
  • Experience with Teams Channels and file management


Requisition Preferences

  • Requires a HS diploma or its equivalent and a minimum of 4 years of experience in the field or in a related area
  • Typically requires two (2) years of college with courses in business administration, computer science, and progressive administrative experience, or any equivalent combination of relevant education and experience
  • Familiarity with Johnson Space Center (JSC) organizations, processes, and procedures
  • Wiki experience would be a bonus

Essential Functions

Work Environment

Generally, an office environment, but can involve inside or outside work depending on task.

Physical Requirements

Work may involve sitting or standing for extended periods (90% of time). May require lifting and carrying up to 25 lbs. (5% of time).

Equipment and Machines

Standard office equipment (PC, telephone, printer, etc.).

Attendance

Regular attendance in accordance with established work schedule is critical. Ability to work outside normal schedule and adjust schedule to meet peak periods and surge requirements.
