PA Coordinator
The Personal Assistant / Coordinator performs a variety of moderately complex to difficult tasks within one or more administrative functions in support of a department or function.
The role will primarily serve as a personal assistant to the head of enterprise security (CISO), to support him in effectively working and communicating with internal and external stakeholders. As a secondary function, the role will extend as a coordinator to assist the enterprise information security office (EISO) senior managers with evolving our communications, work quality, measurable contributions, value and effectiveness.
WHAT YOU WILL DO:
In the primary role, you will perform a variety of administrative tasks for the CISO. Some responsibilities will include:
- Working with SITA staff, managers or PAs to schedule, arrange or rearrange meetings.
- Geographic time zone differences between the PA and the director (5 hours Canada EST vs UK GMT) is an essential and purposeful requirement to assist the CISO in accelerating responses, meetings and coordination for urgent matters.
- On an occasional basis, typically to support the CISO while on travel outside the home time zone, extended remote availability will be expected.
Some of the daily tasks will include:
- Adapting the CISO diary to accommodate requested meetings or meeting changes received.
- Reviewing a “Follow Up Journal” maintained by the CISO and PA and initiating the appropriate actions for further follow up or info.
- During some meetings, the PA will take accurate and comprehensive notes (minutes) at meetings and log them in the “CISO-PA” Teams site.
- Supporting travel planning and travel changes.
- Creating and entering expense reports.
- Coordinate SITA customer or SITA board/council meetings, events and speaking engagements.
- Working with event coordinators to support all EISO event attendance.
- Produce reports, presentations, and briefs as requested.
- Provide a lite/pseudo-PM function for specific CISO sponsored initiatives. You will help support the project for communications, information gathering, vendor contact.
- Support CISO team coordination for large programs or projects.
EXPERIENCE:
- 2-year proven work experience as a personal assistant
- 1-year proven work experience with some project management
- Experience working in a fast-paced multinational business environment.
- Experience working in a technology and cybersecurity function
NICE-TO-HAVE:
- Experience within aviation/IT industry advantageous
