Performs full executive administrative assistant functions of highly responsible and confidential nature for a Manager, Director or Senior Executive Vice President of the company.
JOB RESPONSIBILITIES:
- Demonstrates a working knowledge of executive administrative assistant techniques and exhibits proficiency in the operation of standard office equipment. Maintains supplies for office equipment and office stationery supplies. Effectively utilizes new technology to enhance office efficiency.
- Schedules appointments, maintains calendars, and advises supervisor of pending appointments. Arranges meetings and presentations, participates in their preparation as requested. May coordinate business itinerary and travel requirements
- Sorts, and reads incoming mail and documents, attaches appropriate information to facilitate necessary action. Disseminates information within department(s) as requested
- Receives and relays phone calls, takes messages, and places outgoing calls
- Establishes and maintains harmonious working relationship with supervisors, peers, customers, suppliers, and government representatives
- Compiles and prepares standard and special-reports selecting pertinent data from various sources
- Takes authorized action during supervisor’s absence, using initiative and good judgment to ensure that matters requiring attention are properly handled
- Manage the expense reports for leadership direct reports while ensuring the reports follow Textron policies.
- Support the Senior Leadership organization with request for office equipment
EDUCATION:
High school education required with broad training in office methods and procedures and complete administrative training.
EXPERIENCE:
- 6 months relative administrative or relative experience required.
QUALIFICATIONS:
- Excellent time management skills and the ability to prioritize work.
- Knowledge of office management systems and procedures.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task and work efficiently.
- Greet visitors.
- Prior experience in a law firm or inhouse legal department is preferred.
